Warning 6567

  • Short Text: Completed School Term is 'Yes' in multiple enrollment records for multiple districts or agencies.

  • Long Text: Completed School Term is 'Yes' in multiple enrollment records for multiple districts or agencies. Completed School Term 'Yes' would typically be expected only in the most recent enrollment record for the school term. Review the Completed School Term codes for this student.

  • Business Rule Impact:

  • Calculation-- Multiple Enrollments for multiple districts/ agencies for the school term Where CST = Y. For 2015-16 all choice will be treated as individual schools. (Note - Future Requirement - For 2016-17 systems may be implemented). 2Rs and choice schools not members of a parent system will receive this warning when 2 or more have CST = Y for the same WISEid. CMOs, Systems, and Districts will receive this when 2 or more have CST = Y for the same WISEid. Example: Choice School A, District B, and Choice System C all have a CST = Y for the same WISEid. All 3 should receive this warning.
  • Logic-- (1) For 2Rs (not part of CMO), choice (not part of system), CMO, System, District. (2) For 2015-16 all choice will be treated as individual schools. For 2016-17 systems may be implemented. (3) 2Rs and choice schools not members of a parent system will receive this warning and CMOs, Systems, and Districts will receive this when 2 or more have CST = Y for the same WISEid. For example, Choice School A, District B, and Choice System C all have a CST = Y for the same WISEid. All 3 should receive this warning. (4) This rule is not run for Possible Full-Term Dropout (FTD) records.

  • How to Fix: Verify if the student was indeed enrolled in your district for the term in question. If the student should remain as a 'yes' for the completed school term, work with the other district(s) to remove the 'yes' from their records to avoid the student appearing to have completed a school term in multiple locations. Then acknowledge the warning.
  • For parentally-placed private (PPP) students, both the public school and the Choice school should report that the student completed the school term. You may still receive a warning, such as 6567, because the information may or may not be correct but requires review to decide. If the data is correct, as in both schools reporting the PPP student as completing the school term, the warning can be acknowledged and will require no further action.

  • Example: Michael's record is returning a warning that he has completed a school term in multiple districts. When District Deb looks into it, she sees Michael transferred in January of last school year from Badger High School to Packer High School. He completed the term at Packer High School, which displays in the record. However, he did not complete the term at Badger High School. Badger should have him entered as a transfer. Deb contacts Badger to update their record on Michael, so they can acknowledge the warning and resolve the issue in WISEdata.
